Cancellations

Cancellation of a standardized patient (by the requester or the Standardized Patient Program):

In the instance that it is necessary to cancel a confirmed standardized patient (SP) booking, the requestor must contact us.

  • If a booking is cancelled with 24-hours notice or more, the requestor will not be billed for the scheduled booking.
  • If a booking is cancelled by the requestor with less than 24-hours notice, the SP will receive full compensation for the scheduled hours and the requestor will be invoiced accordingly.

Note: The 24-hour period does not include weekends or holidays.

In the event of a university closure:

Note: The following information applies to the Hamilton site only. The regional campuses have varying practices on storm closures. Waterloo Regional Campus will directly contact any SPs whose bookings are cancelled. Niagara cancellations are determined by the individual school (i.e., Brock University).

All bookings, both in-person and virtual, are automatically cancelled when university campuses are closed due to weather or any other circumstances beyond the Standardized Patient Program’s (SPPs) control. The requestor does not need to contact the SPP to cancel and the requesting program will not be billed.

If McMaster University does not close in inclement weather, SPs are responsible for determining if weather conditions may make their travel to attend a booking and return home unsafe. Should an SP decide not to attend a booking due to weather, the requestor will be notified as soon as possible and the requesting program will not be billed.
