Booking Procedure

Please review the details below on the process for booking an SP.

Online Booking Request Form

All standardized patient (SP) booking requests must be submitted electronically using the CSBL SP Booking Form. Requesters are encouraged to submit booking requests as early as possible.

Bookings do not need to be submitted individually. For large booking requests with multiple dates and/or cases, an excel spreadsheet can be uploaded to the request form. Please contact us for the excel form, if needed.

Requests will not be accepted by any other method(s).

Important notes regarding requests for SPs:

  • Make sure to complete the form accurately and in its entirety.
  • A minimum of five business days notice is required for booking an SP to simulate a case from the catalogue, with day one being the day the complete request is received, and not including the date of simulation.
    • Requests sent with less than five days notice will be declined – this time frame is necessary for recruitment and training.
  • For custom cases, a minimum of 10 business days notice is required.
    • The completed scenario must be provided to the Standardized Patient Program (SPP) upon submitting the request. The SPP is not able to begin scheduling SPs until the scenario has been received.
  • For virtual sessions, include any online meeting links for each session in the location portion of the request form.
  • Requests to change booking dates/times with less than the minimum notice cannot be guaranteed to be accommodated.
  • In the instance that a date/time change is made less than 24-hours prior to a booking or a meeting link is not provided within 24-hours of a booking, the booking of an SP may be cancelled and the requesting program will be charged.

Confirmations

After submitting the resource booking form, the requester will automatically receive an emailed copy of the request. Once the request has been reviewed by the SPP, the requester will be sent an email that outlines the specifics of the request – this email is to be considered confirmation of the booking. The requester is to verify the details and inform the SPP as soon as possible if any are incorrect.
